Billcue Terms of Service & Privacy Policy
Effective date: 17 July 2026
These Terms of Service govern your use of Billcue. The Privacy Policy below explains how Media Two Pty Ltd handles personal information in connection with Billcue. By creating an account or using Billcue, you agree to these Terms. If you use Billcue for a business or other organisation, you confirm that you are authorised to accept these Terms for it.
Terms of Service
1. About Billcue
Billcue is operated by Media Two Pty Ltd (ABN 81 798 146 368), North Lakes, Queensland 4505, Australia. In these Terms, Billcue, we, us and our refer to Media Two Pty Ltd. You and your refer to the person or organisation that owns or uses a Billcue account.
Billcue provides online invoicing, quoting, bookkeeping, accounting records, business reports and related tools for small businesses. Features may include customer and supplier records, expenses, bank reconciliation, payment integrations, document uploads, an accountant portal, artificial intelligence features and other optional services.
2. Your account
- You must provide accurate account and contact information and keep it up to date.
- You must be at least 18 years old and legally able to enter into these Terms.
- You are responsible for keeping passwords, access links, API credentials and other login information secure.
- You must promptly tell us through the Get Help page if you believe an account has been accessed without authority.
- The account owner controls access given to staff, administrators, accountants and other authorised users. You are responsible for reviewing and removing access that is no longer required.
3. Trial, subscription and payment
Billcue currently provides a 30-day free trial and does not require a payment card to begin the trial. To continue using paid features after the trial, you must select a subscription and provide a payment method accepted by Billcue. Current subscription prices and inclusions are shown on the pricing page or in your account.
- Subscription fees are charged for the billing period shown in your account and continue until the subscription is closed or otherwise ended.
- You authorise Billcue and its payment provider to charge the payment method connected to your subscription for fees that are due.
- Prices include or exclude GST as stated at the time of purchase.
- We will give at least 28 days' notice of a subscription price increase where reasonably practicable. You may close your account before the new price takes effect.
- If payment fails, we may suspend paid access while payment remains outstanding. Successful payment may restore access.
- Fees already paid are not refundable except where required by law or where Billcue expressly offers a refund.
SMS credits are separate from your Billcue subscription. A message will not be sent if there is insufficient SMS credit. Delivery also depends on the recipient's network and the third-party messaging provider. You may request a refund of unused SMS credit while the relevant Billcue account remains active, subject to any applicable transaction costs and legal requirements.
4. Your data and content
You retain ownership of the business data, documents and other content you enter or upload to Billcue. You give us a non-exclusive permission to host, copy, process, transmit, back up and display that content only as reasonably required to provide, secure, support and improve Billcue, comply with your instructions, and meet our legal obligations.
You are responsible for:
- the accuracy and legality of the information you enter;
- having authority to provide personal information about customers, suppliers, employees and other people;
- deciding who may access your account and records;
- reviewing invoices, reports, tax calculations, AI-generated drafts and other outputs before relying on or sending them; and
- exporting and retaining copies of records that you are legally required to keep.
Billcue maintains operational backups, but the service is not intended to be the only copy of important source documents. You should retain independent copies of receipts, contracts, identity documents and other records where appropriate.
5. Customer communications
Billcue can help you send invoices, quotes, reminders, emails and SMS messages. You control the content and recipients of communications sent from your account and must comply with privacy, spam, consumer and other applicable laws. In particular, you must not use Billcue to send unlawful or unsolicited commercial messages.
Billcue may send you service communications about security, billing, support tickets, account changes, outages and features needed to operate your account. These are different from marketing messages. Marketing messages will identify Billcue and provide a way to unsubscribe where required by law.
6. Acceptable use
You must not use Billcue to:
- break a law, infringe another person's rights, mislead, defraud or impersonate another person;
- upload malicious code, distribute harmful files, probe security, bypass access controls or interfere with the service;
- access another user's account or information without authority;
- send spam, harassing material, unlawful content or content that you do not have a right to use;
- place an unreasonable load on Billcue or use automated methods that materially disrupt the service; or
- resell, copy, reverse engineer or commercially exploit Billcue except where we have agreed in writing or the law permits it.
7. Third-party services and integrations
Billcue can connect with services provided by other organisations, including payment gateways, banks or financial data services, email and SMS providers, BTC Markets, and AI providers. These services may require separate accounts, credentials and terms. When you enable an integration, you authorise Billcue to exchange the information reasonably needed to perform your request.
We do not control a third-party service and cannot guarantee its availability, accuracy or continued compatibility. Charges imposed by a third party are your responsibility unless Billcue expressly states otherwise. Billcue does not receive or control payments made through DEFT, BPAY, PayID, direct deposit or similar payment instructions merely displayed on an invoice.
8. Billcue AI and Quick-Cue
Billcue AI and Quick-Cue use artificial intelligence to interpret requests, explain screens and prepare drafts. AI-generated content can be incomplete, inaccurate or based on a misunderstanding of your request. These features assist you; they do not replace your judgement or an accountant, tax agent, lawyer or other qualified adviser.
- Check the customer, supplier, amounts, GST, dates, categories, payment details and all other fields before approving or relying on an AI-generated result.
- Do not enter passwords, payment-card numbers, tax file numbers, private API keys or unnecessary sensitive personal information into an AI prompt.
- AI prompts, selected Billcue context and generated responses may be sent to an AI service provider and logged as described in the Privacy Policy.
- Billcue's current AI features prepare drafts and guidance for user review; they do not independently send a Quick-Cue invoice or quote without the user's approval.
9. Reports and professional advice
Billcue calculations, reports, workpapers, BAS information, crypto reports and other outputs depend on the information entered, imported and categorised in the account. They are tools to assist record keeping and are not accounting, tax, financial or legal advice. You should review important reports and seek professional advice appropriate to your circumstances before lodging a return, making a financial decision or relying on a report.
10. Availability, maintenance and security
We take reasonable steps to keep Billcue available and secure, but no online service can be guaranteed to be uninterrupted, error-free or completely secure. Access may be affected by maintenance, internet or hosting failures, third-party outages, security events and circumstances outside our reasonable control. Where reasonably practicable, we will provide notice of planned work that is likely to cause a material interruption.
You must use reasonable security measures on your devices and account, including current software, secure passwords and restricted user access. Please report suspected security problems privately through Get Help rather than publishing them.
11. Suspension, retirement and closure
You can close an account from the Manage Accounts page. Paid users may also be offered an account retirement option that keeps reporting records available on a limited basis for the period and fee shown when the option is selected.
When you request permanent deletion, account access is disabled and the account is queued for deletion. Recovery may be possible for up to 10 days, subject to the fee and conditions displayed on the closure page, but recovery is not guaranteed. Some information may remain temporarily in backups or be retained where reasonably required for legal compliance, security, fraud prevention, dispute resolution, payment records or enforcement of these Terms. The Privacy Policy explains this further.
We may suspend or restrict an account for non-payment, a serious or repeated breach of these Terms, unlawful conduct, a security threat, misuse of the service, or where required by law. We will provide reasonable notice and an opportunity to remedy the issue where practicable. We may act immediately where necessary to protect users, data, Billcue or another person. Extended non-payment or inactivity may eventually result in retirement or deletion after reasonable attempts to notify the account owner.
Before closing or abandoning an account, export the information you need. Closing an account does not remove obligations or liabilities that arose before closure.
12. Intellectual property
Billcue, its software, design, documentation, logos, trade marks and site content are owned by or licensed to Media Two Pty Ltd. We grant you a limited, non-exclusive, non-transferable right to use Billcue while your account is permitted to access the service. This does not transfer ownership of Billcue to you. Your ownership of your own data is addressed in section 4.
13. Australian Consumer Law
Nothing in these Terms excludes, restricts or modifies a consumer guarantee, right or remedy under the Australian Consumer Law or another law where it would be unlawful to do so. Where the law permits us to limit a remedy for a failure to comply with a guarantee relating to services, our liability is limited, at our option, to supplying the services again or paying the reasonable cost of having the services supplied again.
14. Liability
To the extent permitted by law, neither party is liable to the other for indirect, incidental, special or consequential loss that was not reasonably foreseeable. Billcue is not responsible for loss caused by inaccurate or unlawful information supplied by you, your failure to review an output, access you authorised, compromised credentials under your control, or the failure of a third-party service, except to the extent that the loss was caused or contributed to by Billcue or liability cannot lawfully be excluded.
You acknowledge that business and financial records are important and agree to take reasonable steps to verify them and retain appropriate exports or source documents. Nothing in this section limits liability that cannot legally be limited.
15. Indemnity
To the extent permitted by law, you indemnify Media Two Pty Ltd against reasonable third-party claims, losses and costs arising directly from your unlawful use of Billcue, content that infringes another person's rights, or a material breach of these Terms. This indemnity does not apply to the extent that the claim or loss was caused or contributed to by Billcue.
16. Changes to Billcue or these Terms
We may update Billcue and these Terms as the service, law or our business changes. For a material change that adversely affects users, we will give reasonable advance notice through Billcue or the contact details associated with the account where practicable. A change may take effect sooner where required for legal, regulatory or urgent security reasons. The effective date at the top of this page shows when this version began. If you do not agree to a material change, you may stop using Billcue and close your account before it takes effect.
17. Governing law and disputes
These Terms are governed by the laws of Queensland, Australia. The parties submit to the courts of Queensland and courts entitled to hear appeals from them, without limiting any mandatory rights you may have under another applicable law. Please contact Billcue through Get Help first so we have an opportunity to investigate and resolve a concern.
18. General
If part of these Terms is invalid or unenforceable, it will be read down or removed only to the extent necessary and the remainder will continue. A delay in enforcing a right is not a waiver of it. You may not transfer your account or these Terms without our consent. We may transfer our rights and obligations as part of a genuine restructure, sale or transfer of Billcue, provided this does not reduce your rights under applicable law.
Privacy Policy
1. Scope and commitment
This Privacy Policy explains how Media Two Pty Ltd, trading as Billcue, collects, holds, uses and discloses personal information. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply.
A Billcue user may enter personal information about customers, suppliers, employees, contractors and other people. That user remains responsible for its own privacy obligations, including telling those people how their information is handled and having authority to provide it to Billcue.
2. Personal information we collect
Depending on how Billcue is used, we may collect and hold:
- Account and identity information: names, business names, contact details, ABNs, account roles, login details and account preferences.
- Customer and supplier information: names, addresses, email addresses, phone numbers, contact people, notes, payment references and transaction history.
- Financial and business records: invoices, quotes, expenses, income, bank-account descriptions, imported transactions, payment records, categories, GST information, payroll or employee records, journal entries, reports and related notes.
- Documents and communications: receipts, invoice attachments, logos, support-ticket images, messages, feedback, emails and SMS records.
- Billing and payment information: billing contact details, subscription status, payment-provider tokens or references, payment amounts, outcomes and response information.
- Integration information: credentials, identifiers, settings and information returned by optional services such as payment gateways and BTC Markets.
- AI information: Quick-Cue requests, Billcue AI questions, relevant page or account context, generated answers or drafts, errors, review outcomes and usage information.
- Technical information: IP addresses, browser and device information, session and security data, request URLs, timestamps, logs and cookie or similar identifiers.
- Public-site information: contact questions, public Billcue AI conversations and information voluntarily submitted through public forms.
Please do not put passwords, full payment-card numbers, tax file numbers, private API keys or unnecessary sensitive personal information into free-text support, notes or AI fields. Credentials should only be entered in the specific secured integration field intended for them.
3. How we collect information
We collect personal information:
- directly from you when you register, use Billcue, contact support, upload a file, enter a prompt or change a setting;
- from account owners, authorised staff, accountants, customers or other people using an account or client portal;
- from services you choose to connect to Billcue, including payment and financial-data providers;
- automatically through cookies, sessions, server logs and security monitoring; and
- from public sources where reasonably necessary to answer a request or protect the service.
4. Why we use personal information
We use personal information where reasonably necessary to:
- create, authenticate and administer accounts;
- provide invoicing, quoting, bookkeeping, reporting, payment and related features;
- process subscriptions and record transaction outcomes;
- send documents, reminders, support notices, security messages, emails and SMS messages;
- operate AI features and connected services requested by users;
- provide customer support and investigate errors;
- monitor, secure, maintain and improve Billcue;
- prevent fraud, abuse, duplicate activity and unauthorised access;
- maintain audit and operational records; and
- comply with legal obligations and resolve disputes.
5. Who may receive personal information
We may disclose personal information to:
- the account owner and people the owner authorises, including staff, administrators and accountants;
- customers or recipients when a user sends or publishes an invoice, quote, statement, payment page or other document;
- hosting, backup, security and technical-service providers;
- email, SMS and notification providers;
- payment gateways and financial-service providers selected by the user;
- OpenAI and other AI-service providers used to provide Billcue AI or Quick-Cue;
- optional integrations, such as BTC Markets, when the user enables or requests the integration;
- our professional advisers, insurers and contractors where they need the information and are required to protect it;
- a purchaser or successor involved in a genuine sale or restructure of Billcue, subject to appropriate confidentiality protections; and
- regulators, courts, law-enforcement bodies or other persons where required or authorised by law.
We do not sell personal information or disclose it to another organisation so that organisation can market its own products to you.
6. AI processing and logs
When you use Billcue AI or Quick-Cue, the text you enter and selected context needed to answer the request may be sent to OpenAI. Depending on the feature, context can include the current page, visible figures, relevant help information, client or item matches and other account information needed to prepare a draft or explanation.
Billcue records AI activity so we can return results, diagnose failures, prevent misuse, monitor cost and improve the feature. Logs may include the user ID, question or typed request, generated answer or result, page, error details, model usage, IP address or user agent. Authorised Billcue administrators may review these logs for support and improvement. Do not include information in an AI request unless it is needed for the task.
Billcue's current AI features are assistive. They prepare drafts or guidance for human review rather than making decisions that independently produce legal or similarly significant effects for an individual.
7. Optional integrations and credentials
When you enter API keys, payment-gateway credentials or other integration credentials, Billcue stores and uses them to make the requests you authorise. For example, BTC Markets credentials are used to retrieve the connected account information and reports requested by the user or an accountant the user has authorised. Treat these credentials as confidential and revoke or replace them through the provider if you believe they have been exposed.
Third-party providers handle information under their own terms and privacy policies. Before enabling an integration, review the provider's terms, permissions and security settings, including any IP restrictions.
8. Overseas processing
Billcue's primary application hosting is in Australia. Some service providers may process or store information outside Australia. In particular, AI requests sent to OpenAI may be processed in the United States or other locations in which OpenAI and its service providers operate. Payment, communication and integration providers may also process information in countries identified in their own privacy policies.
Where the Australian Privacy Principles apply to an overseas disclosure, we take reasonable steps required by law to ensure the information is handled appropriately. Overseas recipients may be subject to privacy laws that differ from Australian law.
9. Cookies and technical information
Billcue uses cookies, sessions and similar browser storage to keep users signed in, remember account and interface preferences, protect forms, prevent misuse and operate features. Cookies and session identifiers can be linked with account and server-log information. Disabling required cookies may prevent Billcue from working correctly.
Server logs may record an IP address, browser or device details, requested pages, timestamps, errors and security events. We use this information to operate, diagnose and protect Billcue and to understand service usage.
10. Marketing
We may send information about Billcue features or offers where you have consented or where the law otherwise permits it. Marketing emails and SMS messages will identify the sender and include an unsubscribe method where required. We may still send essential billing, security, support and service messages after you opt out of marketing.
11. Security
We use reasonable technical and organisational measures designed to protect personal information, including encrypted connections, access controls, account permissions, logging, backups and security monitoring. Access by Billcue personnel and contractors is limited to what is reasonably required for their role.
No internet transmission or storage system is completely secure. You also play an important part by protecting passwords and API credentials, limiting staff and accountant access, using secure devices and telling us promptly about suspected unauthorised activity.
12. Retention, retirement and deletion
We keep personal information for as long as reasonably needed to provide Billcue and for legitimate business, audit, security, support, dispute and legal purposes. Different records have different retention periods. Information may be retained longer where required by law or where it forms part of a financial, payment, fraud-prevention or legal record.
- Active-account data is generally retained while the account remains active.
- If you choose the paid retirement option, account records are retained for the period displayed when you select that option, currently four years.
- A permanent deletion request disables access and places the account into the deletion process. Recovery may be possible for up to 10 days as described on the closure page.
- Backups, audit records and limited legal or security records may remain after account data is removed from the live service. They are protected from ordinary use and deleted, overwritten or de-identified when no longer reasonably required.
Users are responsible for determining which business and tax records they must retain and should export required records before closing an account.
13. Access and correction
You can view and update much of your account and business information inside Billcue. You may also ask for access to personal information we hold about you, or ask us to correct it, through Help > Get Help while signed in. People without a Billcue login can use the public Contact Billcue page.
We may need to verify your identity and authority before providing access or making a correction. In some circumstances the law permits or requires us to refuse access, withhold another person's information or retain a record. Where required, we will explain the reason and available complaint options.
14. Privacy complaints
To make a privacy complaint, contact the Privacy Officer, Media Two Pty Ltd through Help > Get Help or the public Contact Billcue page. Please describe what happened, the information involved and the outcome you are seeking. Our postal location is North Lakes, Queensland 4505, Australia, and our ABN is 81 798 146 368.
We will acknowledge and investigate a privacy complaint within a reasonable time and normally aim to provide a response within 30 days. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner.
15. Data breaches
We investigate suspected data breaches and take steps to contain and remedy them. Where the Notifiable Data Breaches scheme or another applicable law requires notification, we will notify affected individuals and the Office of the Australian Information Commissioner as required.
16. Changes to this Privacy Policy
We will update this Privacy Policy when our information-handling practices or legal obligations materially change. The effective date at the top identifies the current version. Where a change is significant, we will take reasonable steps to notify account owners through Billcue or their registered contact details.
